Contract Administrators

The Job

Contract administrators often work within dedicated contract management groups, legal departments, procurement teams, or finance departments at their employers. They may be assisted by contract specialists, who focus on specific aspects in the contract process—such as identifying risks, compliance concerns, negotiating with the other party regarding contract terms, and other issues. At some employers, the job titles of contract administrator and contract specialist are interchangeable, while at other large businesses they are distinct career paths. For the purposes of this section, both career paths will be classified under the phrase “contract administrator.” Job responsibilities vary by employer, title, the level of experience and training of the worker, and other factors, but most contract administrators perform the following duties:

Contract preparation, writing, and revision: Administrators meet with stakeholders (e.g., executives, department heads) to determine the objective, scope and deliverables of the contract, and then use a standard template (often with the help of artificial intelligence-powered software) to create a contract draft that is reviewed and revised by both parties. The administrator serves as an informational resource to senior managers and lawyers as they negotiate the contract. They review contract counterproposals, identify potential risks, and make suggestions to tighten contract language. They ensure that the proposed contract complies with relevant laws, regulations, and internal company policies. Administrators also make sure that the proposed contract does not create any conflicts with other contracts between the companies.

Contract administration and management: Once the contract is signed by both parties, the administrator establishes and maintains a central contract repository (often using contract lifecycle management software) and establishes a contract administration plan. This allows them to monitor milestones and deliverables, process amendments, track key dates, and manage the contract through closeout or renewal.

Communication and main contact: Throughout the contract preparation, drafting, and implementation process, the administrator serves as a link between external parties (e.g., vendors, clients, subcontractors) and internal departments (e.g., compliance, sales, legal). They address any issues that arise and serve as the sole point of contact regarding the contract.
